Bike rental software for UAE bicycle and e-bike counters
A cycle track or beach counter is quiet on a Tuesday and packed on a Friday afternoon. Families, school groups and friends all arrive at once, and every one of them needs a bike, a waiver and a price. We set the system up around how your staff already run that rush, and we handle the odd cases with you.
What does a weekend rush look like at a bike rental counter?
Handing out a bike takes seconds. Keeping the record straight while twenty people wait is where the day goes wrong.
The queue at the counter
Every adult fills in a paper form, signs a waiver and hands over an ID to be copied. At about 7 minutes a person, a family of five waits half an hour before anyone rides.
Kids' bikes under a parent
The parent signs for three children. On paper, the kids' bikes end up as a scribble next to the parent's name, and at the return nobody is sure which small bike belonged to which family.
One payer, or everyone pays separately
One father pays for the whole group. The next group of friends wants to split it four ways, each with a receipt. By the return, staff are guessing which bikes are settled.
Late returns argued at the counter
The start time is on a sheet, in someone's handwriting. A bike comes back forty minutes late and the extra charge turns into a discussion, or gets dropped.
A swapped bike breaks the record
A chain slips or a seat is the wrong height, so the rider swaps bikes halfway. The sheet still shows the first bike, and the second one looks like it was never rented.
No name on the void or the free ride
A rental is cancelled, a regular gets a free hour, a price is dropped. None of it is signed, so at closing nobody can say who did it or why the drawer is short.
What our bike rental software does
One system for the counter computer, a tablet and your staff phones. It covers the rental from sign-up to the owner's report.
- Timed rentals with live time and price. Each bike type has its own price: city bikes, mountain bikes, e-bikes, kids' bikes, tandems. The screen shows how long every bike has been out and what it costs so far.
- ID and waiver on the customer's phone. The customer scans a QR code at the counter and signs up on their own phone, in English or Arabic: their details, the waiver with a digital signature, and a photo of their ID. It all stays on their record for the next visit.
- Group and split payments. One payer gets one invoice with a line per bike. Friends who pay separately each get their own. Every payment becomes an invoice in the invoicing or accounting software you already use.
- A loyalty card for regulars. Customers add the card to their phone wallet and build points as they ride. Staff scan it to open the customer's record at the counter.
- Win-back offers. A regular who stops coming gets an offer automatically, without anyone at the counter remembering to send it.
- Owner reports. A daily report every night, plus weekly and monthly reports. The daily report and the invoices add up to the money taken, and every price change shows in it.
- Staff codes on voids and price changes. Each staff member has their own code. Voiding a rental or changing a price needs it, so every change carries a name, and the activity log keeps the history.
How does it handle the odd cases at a bike counter?
Before setup we watch a normal day at your counter and write down every exception your team handles. Each one is built in the way your staff already deal with it.
- A child on a parent's rental. A line under the parent, with no separate sign-up.
- A bike swapped mid-ride. The rental moves to the new bike and the clock carries on.
- A late return. Priced by the clock with your own rules, so nobody argues at the counter.
- One payer for a group, or friends paying separately. Each person gets the invoice they asked for.
- A free ride or a changed price for a regular. Allowed with the staff member's own code, and a reason when it is free. It shows in the owner's report.
- A rental started by mistake. Voided with the staff member's own code, and their name stays on it.
When a new case turns up after go-live, you tell us and we add it. Up to 10 hours of changes a month are included.
Built and run at a bike rental shop in the UAE
The rental package is the system we built for, and still run at, a bike rental shop in the UAE. The figures from that shop:
- Counter registration: about 7 minutes down to just over 1. ID, waiver and contact details, 84% faster.
- Daily rentals: 20 to 25 a day before we started, 37 a day on average since. The first figure is the owner's own count. The average covers March to September 2026.
See the rental case on our client results page.
Is it ready for UAE e-invoicing?
Yes. UAE e-invoicing reaches most businesses in 2027: appoint an accredited service provider (ASP) by 31 March 2027, then send invoices through it from 1 July 2027. Businesses with revenue of AED 50 million or more appoint one by 30 October 2026 and go live on 1 January 2027. We connect your invoicing to the ASP you choose, so every invoice the counter makes reaches it without retyping. We are the integrator, not an ASP. See the list of accredited service providers and how we connect your invoicing to one.
Who is it for?
A bike, bicycle or e-bike rental with a team at the counter and a busy weekend: cycle tracks, beach promenades, parks and hotel bike stations. If you also rent kayaks, jet skis or boats, see our boat rental software page, and the full rental package.
Many bike shops also repair bikes: the package covers rentals, and our wider business builds systems for service and repair shops as separate projects.
How much does bike rental software cost with us?
We set the rental package up for your business, and it is fully managed by us on a monthly subscription: AED 2,000 setup, then AED 1,250 a month, with a 12-month minimum. There are no per-user fees and no fee on any rental or booking. The monthly fee covers hosting, updates, support and up to 10 hours of changes a month. The fees of third-party software you use, such as your accounting software, wallet cards and WhatsApp, are paid to those providers directly. A larger operation, with many locations or a big fleet, is priced on its size after the free call.
If most of your bookings come online through travel sites, a booking platform may suit you better. Compare FareHarbor and Checkfront with the rental package.

How we set it up
Free 30-minute call
We hear how your counter runs: what you rent, how you price it, and where the day gets messy.
We watch a normal day
We watch your staff run real rentals, returns and the end-of-day count on a busy day, and write down every exception they handle, so the setup matches your counter.
Set up and trained on site
We load your fleet, prices, staff codes, waiver text and the connection to your accounting software, then train your staff on site on the devices they use.
Run by us every month
We host the system, update it and support it on the monthly subscription, and make up to 10 hours of changes a month. Your team runs the rentals.
Common questions
Yes. Every bike or bike type gets its own price, and the clock runs on each one from the moment it goes out. A kid's bike can sit as a line under the parent's rental, so the child needs no separate sign-up.
Each adult scans the QR code at the counter and signs up on their own phone at the same time: details, waiver with signature and an ID photo. At the bike rental shop where we built the package, registration went from about 7 minutes to just over 1 per customer, so the queue moves while staff hand out bikes.
Yes. One payer gets one invoice with a line for each bike. Friends who want to pay for themselves each get their own invoice.
By the clock. The screen shows how long each bike has been out and what it costs so far, using your own price rules, so a late return is already priced when the bike comes back.
Yes. We connect it to the accredited service provider (ASP) you appoint, so your invoices reach the UAE e-invoicing system without retyping. Most businesses must appoint an ASP by 31 March 2027 and go live on 1 July 2027. We are the integrator, not the ASP, and the ASP's own fees are paid to them. Our e-invoicing readiness checklist covers the steps.
