What does rental management software do for an asset rental business?

It covers the whole rental, from the moment an asset is free to the owner's report at the end of the month. This is what the rental package does at each step.

• Availability. The screen shows which assets are out, with whom and since when. Everything else is in the shop and ready to go.
• Walk-ins and bookings. A walk-in customer signs up in just over a minute, the time we measured at a UAE bike rental counter. If customers also book ahead by phone or WhatsApp, we look at how those bookings reach you today and set them up during setup.
• Timing. Each asset has its own price, and the clock runs from the moment it goes out. The screen shows how long every rental has been out and what it costs so far, on the counter computer, a tablet and staff phones.
• Waivers and ID. The customer scans a QR code and signs up on their own phone: their details, the waiver with a digital signature and a photo of their ID, in English or Arabic. It stays on their record for the next visit.
• Payments and deposits. One person can pay for a group, or friends can each pay for their own. We set up deposits the way you take them today, and they show again at the return.
• Returns. A late return is priced by the clock when it comes back. An asset swapped mid-rental keeps the time running. A rental started by mistake is voided with the staff member's own code.
• Maintenance. Tell us how you track repairs and services today, and we build it in during setup or with the monthly change hours.
• Reports. A daily report every night, plus weekly and monthly reports. The daily report and the invoices add up to the money taken, and every price change shows in it.
• Invoicing and e-invoicing. We connect the package to the invoicing or accounting software you already use, so every payment becomes an invoice there, and we connect that to the accredited service provider you appoint for UAE e-invoicing.
• Loyalty and win-back. A loyalty card in the customer's phone wallet, and automatic offers to customers who stop coming.

Rental inventory software or a spreadsheet?

A spreadsheet lists what you own. Rental inventory software also knows what is out right now, who has it and when it is due back. A sheet only knows that if someone typed it in at the right moment.

The gap shows at closing. Cash and card do not match what the sheet says went out, a discount or a void has no name on it, and the difference gets written off. In the rental package every rental, void and price change is saved with the name of the staff member who made it.

Rental tracking and booking software: what fits a walk-in counter?

Rental tracking software follows each asset while it is out. Rental booking software sells time slots ahead, often online. A walk-in counter needs the first every day. The second matters when customers book ahead.

Ready for UAE e-invoicing

Businesses with revenue of AED 50 million or more appoint an accredited service provider (ASP) by 30 October 2026 and go live on 1 January 2027. Everyone else appoints an ASP by 31 March 2027 and goes live on 1 July 2027. Invoices then travel in the PINT AE format over the Peppol network, through the ASP. We connect your invoicing to the ASP you choose, so every invoice the counter makes reaches it without retyping. We are the integrator, never an ASP. What does the rental package cost?

AED 2,000 setup, then AED 1,250 a month, with a 12-month minimum and no per-user or per-booking fees. The monthly covers hosting, updates, support and up to 10 hours of changes a month. Not included: selling through online travel agencies, crew scheduling, and the fees of third-party software such as your accounting software, wallet cards and WhatsApp, which you pay to them directly.
