POS system for rental shops in the UAE
An ordinary POS, the till at the counter, sells an item and the sale is over. In a rental shop the sale starts when the asset leaves and ends when it comes back. The POS system has to keep track of everything in between, for every asset that is out.
Why does a rental shop need a different POS system?
A shop that sells goods needs a till that knows the price, takes the payment and prints the receipt. A rental shop needs all of that, plus a record that stays open while the asset is out. Six things sit in that record.
A clock on every asset that is out
Each bike, kayak, paddleboard or jet ski has its own start time. Someone has to see, at any moment, what is out, since when and what it costs so far.
A waiver and an ID before it leaves
The customer signs the waiver and shows ID before the handover, and both have to be easy to find later, long after the rental.
Deposits
Money or an ID held at the counter, then given back at the return. It has to stay apart from the day's sales, or the drawer stops making sense.
Returns and late charges
The price is only final when the asset comes back. A late return should already be priced by the clock, so nobody argues about it at the counter.
Groups and split payments
One father pays for three bikes, his brother pays for two, and a friend wants her own receipt. Each payment has to land on the right rentals.
A name on every change
A voided rental, a free ride, a price dropped for a regular. Each one needs the name of the staff member who did it.
Where does a normal retail POS fall short for rentals?
Retail POS software is built for the sale of an item that leaves and does not come back. That works well for a shop. For a rental counter, the gaps show up in a few places.
- A stock count where you need a fleet. A retail till counts items that leave for good. A rental asset leaves and comes back many times a day, and the question is where it is right now.
- The price is set at the sale. In retail you know the price before the customer pays. In a rental the final price depends on when the asset comes back, so staff work it out by hand.
- No step for the waiver. A till goes from basket to payment. The waiver and the ID end up on paper or in a staff member's phone gallery, outside the system.
- Deposits as a workaround. A deposit rung up as a sale and refunded later makes the day's figures harder to read.
- The clock on paper. Start times go on a sheet next to the till. When the counter gets busy, the sheet falls behind.
A retail POS does its own job well. It answers a different question. If you sell drinks and spare parts as well, a retail till still has a place for those sales.
What should you look for in a POS system for a rental shop?
Take this list to any demo, ours included, and ask to see each point on a real rental from start to return.
- A live clock and price per asset. The screen shows every asset that is out, how long it has been out and what it costs so far.
- Pricing by time, with late returns priced automatically. Your own prices per asset, applied at the return without a calculator.
- Waiver, signature and ID before the handover. Ideally on the customer's own phone, so the queue does not wait on one tablet.
- Deposits kept apart from sales. Ask how a deposit is taken, returned and shown in the end-of-day report.
- Group and split payments. One invoice for a payer with several rentals, separate invoices for friends who pay on their own.
- Staff codes on voids and price changes. So every change carries a name.
- Invoices in your accounting software. Every payment becomes a tax invoice where your accountant already works. That is also where getting ready for UAE e-invoicing starts; our e-invoicing readiness checklist covers the steps.
- Reports that add up. A daily report where the invoices and the money taken match.
- The devices you already have. A counter computer, a tablet and staff phones, rather than one fixed till.
How does our rental package answer that list?
The rental package is the system we built for a bike rental shop in the UAE, set up for your business and run by us. It covers the rental from sign-up to the owner's report.
- Timed rentals with live time and price. On the counter computer, a tablet and staff phones. A late return is already priced when it comes back.
- Waiver, signature and ID photo on the customer's phone. The customer scans a QR code at the counter and signs up on their own phone, in English or Arabic. It all stays on their record for the next rental.
- Invoices in the software you already use. We connect the package to your invoicing or accounting software, and each payment becomes an invoice there. One payer for a group gets one invoice with a line per rental.
- Deposits and other exceptions, set up the way you run them. Before setup we watch a normal day at your counter and write down how your staff handle deposits, swaps, late returns and free rides, then set the system up around that.
- User permissions and activity logs. Each staff member has their own code, and voids and price changes carry their name.
- A wallet loyalty card and win-back offers. Points build up in the customer's phone wallet, and customers who stop coming get an offer automatically.
- Owner reports. A daily report every night, plus weekly and monthly reports.
- E-invoicing readiness. We connect to the accredited service provider you appoint. The dates are in our e-invoicing guide.

Do you need a POS machine?
Not for the rental package. It runs in a browser on a counter computer, a tablet and staff phones, so most shops start with devices they already own.
Card payments still go through your card machine. The package does not process cards itself. Staff take the card on your bank's terminal or the payment app you use today, then record the payment against the rental, and it becomes an invoice in your accounting software.
If you want to price dedicated hardware anyway, we read two UAE sources on October 13, 2026. A Dubai POS retailer, Neotech, listed a handheld Android POS tablet at AED 1,678.80 and a desktop Android POS terminal at AED 4,428 (sale prices; the page does not say whether VAT is included). For card acceptance, Mashreq's merchant tariff sheet lists POS terminal setup of up to AED 3,000, annual terminal charges of up to AED 2,500 and Visa and Mastercard charges of up to 3% of the amount. Prices change, so ask for a current quote. Our UAE POS comparison has more on machine costs.
How much does a POS system for a rental shop cost with us?
We set the rental package up for your business, and it is fully managed by us on a monthly subscription that covers hosting, updates, support and up to 10 hours of changes a month: AED 2,000 setup, then AED 1,250 a month, with a 12-month minimum. There are no per-user and no per-booking fees. We train your staff on site.
Not included: online travel-agency distribution, crew scheduling, and the fees of third-party software such as your accounting software, wallet cards and WhatsApp, which you pay directly. A larger operation, with many locations or a big fleet, is priced on its size after the assessment.
What changed at the shop it was built for?
At the bike rental shop in the UAE where the package started, registration at the counter (ID, waiver and contact details) went from about 7 minutes to just over 1 minute, 84% faster. Daily rentals went from 20 to 25 a day, the owner's own figure before we started, to 37 a day on average from March to September 2026.

Common questions
For selling items, yes, and free tills work well for that. For rentals, test one on a real rental before you commit: start a timer on an asset, take a deposit, return it late and see what the price and the end-of-day report show. If staff still need a paper sheet for start times and waivers, the free till covers the sale and not the rental.
No. The package runs on a counter computer, a tablet and staff phones, so most shops use devices they already own. Card payments still go through your existing card machine, and staff record each payment against the rental.
No. Your card machine or payment app takes the card, as it does today. The package records the payment against the rental and turns it into an invoice in the invoicing or accounting software you already use.
Yes. The same system runs on the counter computer, a tablet and staff phones. Each staff member signs in with their own code, so what they do carries their name. Customers sign the waiver and add their ID photo on their own phone from a QR code, in English or Arabic.
