Custom-built vs off-the-shelf: what we learned building for 2 rental services
We have built custom systems for two rental and service businesses in the UAE. One is a rental operation with under 100 items and over 1,000 customers, the other is a service workshop handling multiple bikes a day across repairs, servicing, and washing. Before building, we looked at every off-the-shelf option available. Hubtiger, Booqable, Current RMS, RepairShopr, Lightspeed. We chose to build custom for both. Here is why, with real numbers.
This is a breakdown of what we found when we compared the costs, limitations, and long-term math of off-the-shelf platforms against building something from scratch for a specific business.
What the market charges
Every platform prices differently. Some charge per item, some per user, some per technician. Here is what they all cost in AED for a small rental or service business in the UAE:

For a bike or rental shop with 50-100 items and a small team, you are realistically looking at the mid-tier of most platforms. That puts you in the 200-400 AED/month range before add-ons.
If your business does both rental and service (like two of the platforms above require separate plans for), you are stacking subscriptions. A rental shop with 50 items and a service workshop on Hubtiger would require two separate subscriptions totaling over 400 AED per month before any extras.

What costs do pricing pages hide?
The monthly fee is the starting point. Here is what adds up across these platforms:
- WhatsApp: Hubtiger charges approximately 37 AED/month per phone number, plus approximately 0.06 AED per utility message from Meta. Every physical location needs its own number and subscription. Booqable's public pricing page lists integrations including Zapier, but did not show a native WhatsApp workflow feature as of May 2026.
- SMS: On Hubtiger rental plans, SMS credits are not included and are billed separately. Repair plans include limited credits (100-350 depending on tier), with additional credits available at extra cost. RepairShopr needs third-party middleware for UAE SMS gateways. Standard UAE SMS costs 0.10-0.15 AED per message through providers like Twilio.
- Tier upgrades: Grow past an item cap on Hubtiger and your bill jumps to the next tier. The tiered structure means scaling your inventory directly increases your monthly cost.
- Add-on stacking: Lightspeed handles rental features through integrations with platforms like Booqable or Hubtiger, adding to your total software cost. Add-ons for mobile POS and website builders are available at additional cost.
- Data lock-in: Your customer database, rental history, and service records live on their servers across all of these platforms. Most offer CSV exports, but rebuilding your workflows, automations, and integrations on a new platform takes weeks.
What we actually spent building custom
For a rental client (under 100 items, 1,000+ customers and growing, live since early 2026), here is the actual cost breakdown. The only recurring cost is system hosting, which ranges from free (self-hosted) to 88 AED/month depending on setup. The dashboard, automations, and notifications are all included in the build.
Year 1 total cost
Mid-tier off-the-shelf plan + WhatsApp + SMS extras. Year 1: varies by platform and tier, typically 3,000-5,000+ AED
Around 7,000 AED one-time build + 0-88 AED/month system hosting. Year 1: ~7,000-8,056 AED
Year 2 and beyond
Year 2: ~7,200 AED. Year 3: ~10,800 AED. Year 5: ~18,000 AED. Monthly fee never stops.
Year 2: ~7,000-9,112 AED. Year 3: ~7,000-10,168 AED. Year 5: ~7,000-12,280 AED. Just system hosting from month 13 onward, if any.
These numbers assume the platform does not raise prices. SaaS companies adjust pricing at their discretion. A custom system price is locked the day you pay for it.
What off-the-shelf cannot do
Cost is one thing, every business has expenses. The bigger problem is what you cannot change. Both of our clients had workflows that no off-the-shelf platform could handle without workarounds:
Client 1: rental business
- Needed a live pricing timer that updates every second on a shared tablet. No off-the-shelf platform we reviewed offers this.
- Wanted returning customers looked up instantly by phone number with their full rental history. Off-the-shelf systems make you search through a list.
- Required custom waiver generation tied to each registration. Not a template you fill out manually.
- Needed the system to work on a single shared tablet at the counter with no app to install.
Client 2: service workshop
- Needed a kanban board that matches their actual workflow. Received, Quoted, Approved, In Service, Washing, Ready for Pickup, Collected. Their flow, not a generic one.
- Wanted WhatsApp notifications sent automatically when job status changes. Not SMS. WhatsApp, because that is what their customers use in the UAE.
- Required photo capture at intake so every bike is documented before work starts. Stored securely, auto-deleted after 365 days.
- Needed a customer-facing status page where customers check their job status instead of walking up to the counter every 20 minutes.
None of these are exotic requirements. They are just specific to how each business actually operates. Off-the-shelf platforms give you their workflow. Custom builds give you yours.
Why is WhatsApp a problem for off-the-shelf platforms?
In the UAE, WhatsApp is the default communication channel. Customers do not check email. SMS goes unread. WhatsApp is where business happens.
Off-the-shelf platforms either treat WhatsApp as a premium add-on or skip it entirely. Hubtiger charges approximately 37 AED/month per number plus Meta's per-conversation fees. Booqable's public documentation does not show a native WhatsApp workflow feature. RepairShopr and Lightspeed require third-party middleware. A business with 3 locations on Hubtiger is paying approximately 111 AED/month just for WhatsApp before a single message is sent.
With a custom build, WhatsApp Business API is integrated directly. Our workshop client's WhatsApp notifications cost approximately 0.06 AED per message. For a shop processing 5-10 jobs per day, that is roughly 30-50 AED per month total. No per-number platform fee. No SMS credit limits.
When off-the-shelf makes sense
Custom is not always the right call. Off-the-shelf platforms win when:
- You need something running today, not next week. Sign up and start.
- Your workflow is generic enough that the platform's default flow works for you.
- You have fewer than 20 items and the Lite tier covers you comfortably.
- You do not need WhatsApp and SMS is fine for your customers.
- You plan to sell the business and a recognizable platform name makes the handoff easier.
If you fit those criteria, an off-the-shelf platform is a reasonable choice. Pay monthly, get a working system, move on.
When custom is worth it
Custom makes sense when:
- You are growing past the Lite tier and monthly costs will keep climbing.
- Your workflow has specific steps that do not match any template.
- WhatsApp is essential to how you communicate with customers.
- You want to own your data and not depend on a platform that could change pricing or shut down.
- You plan to operate this business for more than 2 years.
When should you build custom?
Off-the-shelf rental and service platforms are built to serve the widest possible audience. That means your business adapts to their system. Custom builds flip that. The system adapts to your business.
Year 1, the costs are close. Year 2 and beyond, custom wins on price. And from day 1, custom wins on fit. Your staff learns one system that matches exactly how they already work, not a generic interface they have to work around.
