n8n vs Zapier: Which One Should Run Your Business Automations?
Both platforms move data between the tools you already use. The feature lists overlap so much that reading them side by side settles nothing. What actually separates the two, in practice and on the invoice, is how each one counts your work. A task is counted each time Zapier successfully completes a unit of work: every action step in a Zap, every AI step, every code step. A workflow with 8 action steps that runs 500 times a month consumes about 4,000 tasks. Built-in utilities like Filter, Paths, and Formatter are free, and failed steps do not count.
An execution is one run of an entire workflow, in n8n's own words: "It doesn't matter how many steps are in the workflow or how much data it processes." The same 8-step workflow running 500 times a month consumes 500 executions. Step count changes nothing on the bill.
Neither meter is wrong. Per-task pricing means you pay in proportion to the work done, and Zapier publishes the model plainly. It means the two bills grow at different speeds as your automations get deeper. A business running three 2-step Zaps barely notices the difference. A business running a 12-step order pipeline hundreds of times a week notices it every month.

When Zapier is the right choice
- Your automations are short and few. Two or three steps, a handful of workflows, modest volume. Per-task billing barely registers at that scale, and setup takes minutes.
- Nobody on the team is technical, and nobody wants to be. Zapier is the most polished no-code experience in the category. If the person maintaining the automations is an office manager, that polish is worth real money.
- You depend on a niche app. With 9,000+ published integrations, the odds that your obscure tool has a prebuilt Zapier connector are better than anywhere else. In n8n the same app might need HTTP requests and API documentation.
When n8n is the right choice
- Your workflows are long or run constantly. Order pipelines, WhatsApp message flows, document processing, anything with 8, 10, 15 steps firing all day. One execution per run keeps the bill flat while the workflow grows.
- You need the data on your own infrastructure. The self-hosted edition runs on a server you control, free under n8n's Sustainable Use License. For UAE businesses with data-residency requirements, regulated clients especially, this is usually the deciding factor on its own.
- You want to own the system, and never rent it. Your own n8n instance, your own credentials, no dependency on a third party's account. If you stop paying a Cloud subscription, the self-hosted path still exists. That exit door has value even if you never use it.
- Your automations involve logic, branching, or AI steps. n8n handles loops, complex branching, custom code, and AI workflow steps natively. Heavy logic in Zapier is possible, and every extra step of it is another task on the meter.
The honest trade-offs with n8n
- The learning curve is real. n8n's editor thinks in data structures. A non-technical owner can run workflows someone else built, and building them from scratch is a different job.
- Self-hosting means someone maintains a server. Updates, backups, security, uptime. Free software with an unmaintained server underneath it is more expensive than any subscription. Either budget for that or use n8n Cloud.
- Niche apps take work. No prebuilt node means reading API documentation and wiring HTTP requests. It works, and it is technical work, either yours or your implementation partner's.
The question underneath the platform question
The n8n vs Zapier question usually stands in for a bigger one: who maps our process, builds the workflows, connects them to the tools we already run, and keeps the whole thing alive? Zapier counts a task every time an action step in a Zap completes, so a workflow with many steps consumes many tasks per run. n8n counts one execution per workflow run, no matter how many steps it contains. Feature sets overlap heavily; the meter is what separates the monthly bills as your automations grow.
The self-hosted community edition is free under n8n's Sustainable Use License, for internal business use. You provide and maintain the server it runs on, so the real cost is hosting plus someone's time. n8n Cloud, the hosted version, starts at 20 euros per month for 2,500 executions as of August 2026.
It depends on the shape of your workflows. For a few short automations, both are inexpensive and Zapier's free tier may be enough. For workflows with many steps or high run volumes, per-execution billing usually works out lower than per-task billing. The way to know is to count your expected runs per month and steps per workflow, then price both meters.
Mostly, with one honest caveat. Zapier publishes 9,000+ app integrations, and for long-tail apps its prebuilt connector is often the fastest path. n8n ships its full integration library on every plan and includes generic HTTP and webhook nodes that can talk to any API, but connecting a niche app that way takes technical work rather than a few clicks.
