Liability Waiver Template for Rental Businesses in the UAE (Copy and Edit)
Most rental counters in the UAE have a waiver of some kind. Often it is a photocopied page in English, signed on a clipboard and dropped in a box. This guide gives you a liability waiver template you can copy from this page, in English with Arabic headings. Then it covers what decides whether a waiver helps on a bad day: what it covers, how signed copies are kept, paper versus digital, and language.
We build systems for rental businesses, including the waiver step at the counter. We are not lawyers, and nothing here is legal advice. Where we mention a UAE law, we link the government page we read it on, on October 13, 2026.
What does a rental liability waiver usually cover?
A waiver is the customer's signed statement that they know the risks of the activity, accept them, and will follow your safety rules. Rental waivers tend to cover the same ground:
- Who is renting. Name, mobile number, ID type and number, and an emergency contact.
- What and when. The equipment, its asset number, the start time and the agreed return time.
- The risks, in plain words. Falls, collisions, capsizing, heat, equipment failure: the real risks of your activity, written for it.
- The renter's statements. Fit to take part, able to swim for water activities, not under the influence, any medical condition declared.
- Safety rules. Helmet or life jacket, the route or area, passenger limits, the return time.
- Care of the equipment. Who pays for damage, loss and a late return, usually by pointing to your rental terms.
- A release of claims. The customer releases the business from claims that arise from the stated risks, to the extent the law allows.
- Children. A parent or guardian signs for anyone under 18, with a minimum age for each activity.
- ID photo and personal data. What you keep, why, and for how long.
- Language and signature. Which language versions exist, the signature, and the date and time.
Waiver or rental agreement?
A waiver deals with risk to the person. A rental agreement deals with the equipment and the money: rates, deposits, late returns and damage. A walk-in counter often puts both on one form, which works as long as each part is clear. For multi-day or business hires, use a full equipment rental agreement, and set your late return fees before the first argument at the counter.
What a waiver will not do for you
How far a release of claims holds in the UAE is a question for a UAE lawyer, and the answer can depend on what happened. A waiver is one piece of evidence that the customer was told the risks and accepted them. Maintained equipment, a safety briefing, the right insurance and staff who stop an unsafe rental all do work a form cannot.

How to fill it in well
- Name the real risks. A kayak counter and a mountain bike counter face different accidents. Write the ones your staff have seen.
- One waiver per activity. If you rent bikes and jet skis, use two versions, so each lists the risks of its own activity.
- Put a version number and date on it. When you change the text, the number changes, and you can show which version each customer signed.
- Keep sentences short. Customers read a waiver standing at a counter, often in the sun, often in their second language.
How should you keep signed waivers organised?
The question after an incident is always specific: show us the waiver for the person on kayak K-07 at 4 pm last Friday. Your filing works when that takes a minute. These rules get you there on paper or on screen.
- Tie every waiver to a rental. Write the asset number and start time on the form, or store the waiver on the same record as the rental. A waiver you cannot match to a rental is hard to use later.
- File by date. One folder or envelope per day on paper. Scan the week's forms at a set time each week, so the box never holds months.
- Keep ID copies off staff phones. An ID photo in a staff member's gallery leaves when that person leaves. Store it with the waiver, where only the people who need it can see it.
- Keep the old versions. When you change the waiver text, keep a copy of every earlier version with its dates.
- Decide how long you keep them. Agree a retention period with your lawyer, write it into the waiver's data clause, and stick to it.
- Decide what returning customers sign. Some counters ask for a new signature every visit, others once a season or when the text changes. Pick one rule and apply it to everyone.
Waivers hold personal data. The UAE government portal describes Federal Decree-Law No. 45 of 2021 Regarding the Protection of Personal Data as a unified framework that keeps personal information confidential and protects privacy (u.ae, read October 13, 2026). Ask your lawyer what it means for the ID photos and phone numbers you keep.
Paper or digital waiver: which works better at a rental counter?
There are three common setups. Here is how they compare on a busy afternoon.
| Paper on a clipboard | Tablet at the counter | Customer's own phone (QR code) | |
|---|---|---|---|
| The busy hour | One pen, one customer at a time, details typed up later | One device, one customer at a time | Everyone in the queue fills it in at the same time |
| Finding a waiver later | Search a box by date | Searchable, if stored with the rental | Search by name or phone on the customer record |
| ID copy | Photocopy, or a photo on a staff phone | Tablet camera | The customer photographs their own ID |
| Arabic | A second printed form | Language switch | Language switch on their phone |
| Returning customers | Fill it in again | Look up and sign again | Found by phone number, details already there |
| Running cost | Printing and storage | A tablet and waiver software | Waiver software and a printed QR code |
Paper works for a quiet counter with a careful owner. It breaks down at the busy hour: one pen, five customers, and a staff member typing names into a sheet afterwards.
How a digital waiver on the customer's phone works
- A QR code sits on the counter. The customer scans it with their own phone camera.
- They pick English or Arabic and fill in their details while they wait in the queue.
- They read the waiver and sign it with a finger on the screen.
- They take a photo of their ID.
- Everything is saved on their customer record with the time and the waiver version. Staff see that the waiver is signed before they hand anything over.
- Next time, staff find the customer by phone number and the details are already there.
The queue is where this pays. At a bike rental shop in the UAE where we moved registration (ID, waiver and contacts) from paper to the customer's phone, the time at the counter went from about 7 minutes to just over 1, 84% faster.
On the legal side, the UAE government portal says Federal Decree-Law No. 46 of 2021 on Electronic Transactions and Trust Services regulates the validity of electronic documents and the legal value of digital signatures (u.ae, read October 13, 2026). Whether a finger signature on a phone is enough for your waiver, and what to store with it, is a question for your lawyer. Whatever they say, keep the exact text that was signed, the version number and the time.
What to check before you buy waiver software
Standalone waiver software sells the signing step as a subscription. Ask three questions first:
- Does the signed waiver land on the same record as the rental and the payment, or in a separate system staff have to search?
- Can the customer sign on their own phone, in Arabic as well as English?
- Can you export every waiver, with its signature, if you ever leave?
Should a rental waiver be in English and Arabic?
For most UAE counters, yes. Your customers include Arabic speakers, and it is harder to show that a customer understood a waiver they could not read. A few practical rules:
- Use a qualified legal translator. Machine translation of a release clause can change its meaning. The Arabic headings in our template are a starting point for your translator.
- Same clause numbers in both. Staff can then point to clause 5 whichever language the customer reads.
- Decide which version applies if they differ. The template has a clause for it. Your lawyer should choose.
- On paper, print side by side. Two columns on one page, so nobody signs one version without the other in front of them.
- On a phone, let the customer choose. A language switch at the top, and the signed record notes which language was shown.
- Explain the safety rules out loud. The form records the agreement. The briefing is what keeps people safe.
What we set up for rental counters
In the rental package we set up for UAE rental businesses, the customer scans a QR code at the counter and signs up on their own phone: their details, the waiver in English or Arabic with a digital signature, and a photo of their ID. It all sits on their record for the next rental, next to every rental and payment. Each payment becomes a tax invoice in the accounting software you already use, which is where getting ready for e-invoicing starts.
We load your own waiver text, so have it reviewed by your lawyer first. The template above is a fair place to start.

Frequently asked questions
We cannot answer that for your business, and nobody should without seeing your waiver and your activity. A waiver is evidence that the customer was told the risks and accepted them. How far a release of claims holds in the UAE is a question for a UAE lawyer. Use our template as a starting point and have it reviewed before use.
Yes. With a digital waiver the customer scans a QR code, reads the waiver, signs with a finger and photographs their ID. The UAE government portal says Federal Decree-Law No. 46 of 2021 regulates the validity of electronic documents and digital signatures. Ask your lawyer what to store with each signature, and keep the signed text, its version number and the time.
For most UAE counters, yes. Use a qualified legal translator rather than machine translation, keep the same clause numbers in both versions, and let your lawyer decide which version applies if they differ. On a phone, let the customer pick the language and record which one they saw.
Agree a retention period with your lawyer, write it into the waiver's data clause and apply it to every waiver. Whatever the period, file each waiver so it can be matched to the rental it covers, by date, asset number and the customer's phone number.
A liability waiver is about risk to the person: the customer accepts the risks of the activity. A damage waiver is an optional fee some rental businesses charge that limits what the customer pays if the equipment is damaged by accident. They are separate, and a damage waiver should be its own line on the receipt.
A quiet counter with one careful person can run on paper, if every form is filed by date and tied to a rental. Digital waivers pay off when queues build at busy times, when you need to find a waiver quickly, or when ID copies are sitting on staff phones. Check that signed waivers land on the same record as the rental and the payment.
